Adding Restrictions to Titles

When archiving commercial (subscribed publications) or sensitive material, you might need to negotiate with the publisher on public access conditions for the archived material in PANDORA.  This is best done while you seek permission to archive from the publisher (use form letter 1a and make any changes to the letter as appropriate). 

Please note that restrictions cannot be set when first creating a new title, you will need to create the title and then re-enter the title and edit the restrictions as required. 

 

Period and Date Restrictions

To add a period or date restriction:

  1. Select the Restriction tab from any Title Edit screen.
  2. Click on the Add Restriction button.
  3. Mark the bullet button next to the type of restriction you would like to apply:
    • Period Restriction - to restrict for a distinct period such as 1 year (from instance gather date)
    • Date Restriction - to set an exact date for application and expiry of restrictions
  4. Fill in the relevant period or dates and select a location from the drop-down selection box as to where the archived resource is allowed to be used.  If no location is suitable, contact the PANDAS administrator for a new location to be set up by the IT system administrator.
  5. Click on Add to complete.
  6. The Restriction will now appear in the restriction box but the restriction is not applied yet.
  7. Click on the Enable button next to the restriction.  The label in the Enabled column will change to Yes. 
  8. Click on Save and the restriction will take immediate effect in the PANDORA public interface.

If a specific restriction becomes no longer required, click on the Disable button and save the record.

 

Authenticated Restriction

Authenticated Restriction allows a selected user group to access the archived resource with a username and password.  The username and password are pre-set by the PANDAS administrator.  If a new user group is required to add to the existing list, please contact the PANDAS administrator. 

To add an authenticated restriction:

  1. Select the Restriction tab from any Title Edit screen.
  2. Click on the Add Restriction button.
  3. Mark the bullet button next to the type of restriction you would like to apply:
  4. Select a user group from the drop-down selection box.
  5. Click Add to complete
  6. The restriction will now appear in the restriction box but the restriction is not applied yet.
  7. Click on the Enable button next to the restriction.  The label in the Enabled column will change to Yes. 
  8. Click on Save and the restriction will take immediate effect in the PANDORA public interface.

You are allowed to add multiple restrictions to titles by re-entering the Restriction tab from the Title Edit screen, and repeating steps 1-8.
